Speaker/Poster Information

Registration 

All speakers, workshop presenters, poster authors, and moderators must register for a minimum of a one-day registration fee. Student presenters may register at the student rate.

Presentation Length

Presentations are generally allocated 30 minutes, including speaker introduction and Q&A. However, in some organized sessions speaker time may vary. Science flashes are allocated 8-10 minutes, depending on the number of submissions accepted. Professional development seminars are allocated 90 minutes.

Recordings

SAF will be recording presentations during the Scientific and Technical Sessions using audio recording that syncs with the slides. There will be no cameras. No recording will be used without permission. When an abstract is submitted, the submitter will be asked to indicate if permission is given to SAF to use the recording. If you will not be the presenter, be sure to ask the presenter how s/he wants the permission questions to be answered.

Speaker Ready Room

The location and hours of operation will be listed in the onsite program. The room will have LCD projectors and screens available to review your presentation.

Audio-Visual Equipment

All rooms will be equipped with:
   • Laptop
   • LCD projector
   • Screen
   • Podium microphone
   • Slide advance remote with laser pointer

Projectors in the concurrent session rooms will be capable of displaying both 16:9 and 4:3 slides. However, given the screen sizes, your slides will fill more screen and avoid letterboxing if it’s 4:3. Laptops will be set up so presentations can be run from the podium. Audio-visual assistance will be on site to help troubleshoot problems. NO requests for additions to AV capabilities will be accommodated on site.

Location/Room Set-up

All the concurrent sessions will be held in the Kentucky International Convention Center. Rooms will generally be set theater style unless SAF has received and approved a specific request for another format. Attendees will not generally have a writing surface.

Handouts

Presenters are responsible for creating, shipping, and distributing their own handouts.

Poster Set-up

Starts on Tuesday, October 29, at 3:00 pm  until 7:00 pm and again on Wednesday, October 30, at 8:00 am until 3:00 pm and 5:30 pm through 7:00 pm.  

Each poster will be assigned a numbered space that you will receive when you check in at the poster desk. DO NOT change the sequence of numbers once you receive your poster assignment. You will be responsible for the set-up of your own poster.

Poster Symposium

Poster authors are expected to attend their poster during the Symposium on Thursday, October 31st from 3:30 – 5:00 pm.

Poster Guidelines

ALL POSTERS MUST FIT within a space that is 42 inches wide by 40 inches high (107 cm by 102 cm). Oversized posters will be taken down.

Poster Break-Down

Starts on Friday, November 1, at 4:00 pm until 6:00 pm. Materials remaining after that time will be discarded.
